Job Title:        Non-Criminal and Data Administration Support

Reports to:     Executive Director

Position Summary

The non-criminal administration and data support person is responsible for the following: file management of all non-criminal and criminal files, statistics compilation, data base management of all non-criminal and criminal files, and for the provision of direct services to victims of crime and tragedy.

Duties and Responsibilities

  1. Non-Criminal and Criminal File Administration:
    1. Set up and manage all non-criminal files from the RCMP, community, self-referrals and referrals from other victim serving organizations;
    1. Ensuring all non-criminal files are assigned to evening volunteers as needed;
    1. Assist with other administrative work as required.
  • Database Management:
    • Monthly statistics for all open and closed non-criminal and criminal files;
    • Quarterly statistics for Justice and Solicitor General and the RCMP;
    • Annual statistics for ADVAS and all current grants.

  • File Management
    • Set up the ADVAS coversheet for all files from the RCMP 5151 and other referral sources;
    • Regular review of non-criminal file and criminal;
    • Daily data input and updates on all current files.
  • Direct Assistance for Non-criminal and criminal cases:
  • Provide direct assistance to non-criminal files as needed via phone, text, mail and email;
  • Direct assistance includes call outs for sudden deaths and next of kin notifications as requested by the RCMP.
  • Other Duties as Assigned by the Executive Director

Scope:

  • Part-time position – 32 hours per week;
  • Flexible work schedule requiring some evening and weekend work; 
  • Overtime must be preapproved by the Executive Director and will be taken as straight time in lieu;
  • Ongoing training and professional development is required;
  • There is an on-call requirement for this position;
  • ADVAS is a small organization with financial and human resource limitations. As a result, the Non-Criminal Administrative Support, Administrative/Court Support Assistant, Volunteer Manager and Court Coordinator must collaborate with the Executive Director to serve as a resource for each other and share duties to ensure that the operational needs of the organization are met.
  • This position will support all non-criminal administrative cases and front-line tasks required for operational management.

Requirements:

  • Experience working in a police-based environment is essential and preferable within the local victim services program.
  • Excellent understanding and knowledge of community and online resources for adults and children in the districts served by ADVAS;
  • Ability to relate to persons of all ages and of diverse backgrounds, skills and abilities;
  • Excellent verbal and written communication skills;
  • Excellent computer skills including and database management;
  • Strong administrative and organizational skills;
  • Understanding of issues affecting victims of crime and tragedy;
  • No criminal record;
  • A current RCMP Security Clearance is required;
  • Valid Alberta driver’s license;
  • Must reside in Airdrie or a district served by ADVAS.

There is a requirement for on-call, evening and weekend work. The compensation package for this position is competitive.
